Delegate Event Registration Policies

These policies apply to delegates, attendees, guests, speakers registering as attendees, and other participants attending GLTSA conferences, meetings, and events. Additional terms may apply to vendors, exhibitors, and sponsors as described in the Vendor & Sponsorship Policies below.

Effective Date: July 2026

Event registration is not confirmed until the completed registration form and full payment have been received.

Organizations requesting an invoice must submit payment by the due date shown on the invoice. GLTSA reserves the right to cancel unpaid registrations if payment is not received by the stated deadline.

A 3% convenience fee may apply to credit card payments.

Cancellation requests must be submitted in writing to GLTSA.

Cancellations received on or before September 1, 2026, will receive a refund, less a $75 administrative fee.

Cancellations received after September 1, 2026, are nonrefundable.

A registration may be transferred to another individual from the same organization at no additional charge. Substitution requests should be submitted to GLTSA before the event whenever possible.

GLTSA reserves the right to change the conference schedule, speakers, sessions, activities, meals, location, format, or other event details when circumstances require.

Changes to individual speakers, sessions, activities, or schedules do not qualify the registrant for a refund.

If GLTSA cancels the entire event, registration fees will be refunded or, with the registrant’s agreement, credited toward a future GLTSA event.

If an event is postponed or rescheduled, registrations will normally transfer to the new date. GLTSA will provide additional options when the revised event details are announced.

GLTSA is not responsible for airfare, lodging, ground transportation, lost wages, or other expenses incurred by attendees.

Attendees are responsible for making and canceling their own hotel and travel arrangements.

Canceling an event registration does not automatically cancel a hotel reservation. Hotel reservations are subject to the hotel’s separate cancellation policies.

Registered attendees may send another representative from the same organization in their place.

The substitute attendee must provide any information reasonably required to update the registration, badge, dietary requests, accessibility arrangements, and event records.

GLTSA will make reasonable efforts to accommodate dietary restrictions and accessibility requests submitted by the registration deadline.

GLTSA cannot guarantee that requests submitted after the stated deadline can be accommodated. Attendees with severe food allergies or other significant needs should contact GLTSA directly before the event.

Attendees are expected to conduct themselves professionally and respectfully toward other attendees, speakers, vendors, sponsors, venue employees, and GLTSA representatives.

GLTSA reserves the right to remove an attendee whose behavior is disruptive, unsafe, discriminatory, harassing, threatening, or otherwise inconsistent with the professional nature of the event. No refund will be provided when an attendee is removed for violating these expectations.

GLTSA may photograph or record portions of its conferences and events for association communications, educational materials, websites, social media, and future event promotion.

By attending, participants acknowledge that they may appear incidentally in photographs or recordings. Anyone with concerns should contact GLTSA before the event.

Attendees may not record presentations or distribute presentation materials without permission from GLTSA and the applicable presenter.

Attendees are responsible for their own personal belongings. GLTSA and the event venue are not responsible for lost, stolen, or damaged property, except as required by law.

Attendees are responsible for evaluating their own travel and participation needs and for following applicable venue, safety, and public-health requirements.

Conference badges and registrations may not be shared between multiple individuals.

Only registered attendees may participate in conference sessions, meals, receptions, and other activities unless GLTSA has specifically authorized guest participation.

Vendor & Sponsorship Policies

These additional policies apply to exhibitors, vendors, sponsors, GLTSA On Tour participants, and organizations purchasing promotional opportunities at GLTSA conferences and events. Vendors and sponsors are also subject to the applicable Delegate Event Registration Policies above.

Effective Date: July 2026

Registration and sponsorship selections are not confirmed until full payment has been received. Opportunities are available on a first-paid, first-confirmed basis.

Organizations requesting an invoice must submit payment by the due date shown on the invoice. GLTSA reserves the right to release unpaid registrations or sponsorship opportunities if payment is not received by the stated deadline.

A 3% convenience fee may apply to credit card payments.

All vendor registrations, sponsorships, promotional materials, and displays are subject to approval by GLTSA. GLTSA reserves the right to decline or cancel participation if an organization, product, service, display, or promotional message is determined to be inconsistent with the mission, values, or interests of the association or its members.

If GLTSA declines an application before the conference, payments made for the declined registration or sponsorship will be refunded.

Vendor registration and sponsorship cancellations must be submitted in writing.

Cancellations received on or before September 1, 2026, will receive a refund, less a $75 administrative fee.

Cancellations received after September 1, 2026, are nonrefundable. Registrations may be transferred to another representative from the same organization at no additional charge.

Sponsorship payments are nonrefundable once sponsor recognition, promotional placement, printing, signage, or other sponsorship benefits have begun.

Sponsorship opportunities are limited and are awarded on a first-paid, first-confirmed basis.

GLTSA will make reasonable efforts to provide all advertised sponsorship benefits. If a sponsored event, meal, break, or activity is changed or canceled, GLTSA may provide a comparable sponsorship benefit or promotional opportunity of similar value.

Sponsorship purchases do not include conference registration unless specifically stated in the sponsorship description.

Sponsors and vendors are responsible for submitting logos, advertisements, literature, and other promotional materials by the deadlines provided by GLTSA.

Materials received after the deadline may not be included in signage, printed materials, attendee folders, emails, the conference website, or other promotional placements. No refund will be issued for benefits that cannot be completed because materials were submitted late or did not meet the requested specifications.

GLTSA reserves the right to reject materials that are inappropriate, misleading, offensive, or inconsistent with the association’s mission.

Organizations participating through GLTSA On Tour or purchasing a literature insert are responsible for shipping materials to the location and by the deadline provided by GLTSA.

GLTSA is not responsible for materials that arrive late, are damaged during shipping, or are delivered to an incorrect location.

Unless prior arrangements are made, unused materials may be discarded following the conference and will not be returned.

Vendors and sponsors must conduct themselves professionally and comply with all conference venue requirements, GLTSA policies, and applicable laws.

Displays and promotional activities must remain within the assigned vendor space and may not obstruct aisles, neighboring exhibits, conference activities, or venue operations.

GLTSA reserves the right to remove any display, material, or representative whose conduct is disruptive, inappropriate, unsafe, or inconsistent with the professional nature of the conference. No refund will be provided in these circumstances.

Vendors and sponsors are responsible for their own equipment, displays, products, promotional materials, and personal property.

GLTSA, its representatives, and the conference venue are not responsible for loss, theft, damage, injury, shipping delays, or other expenses related to vendor participation, except as required by law.

Vendors are responsible for any damage caused by their representatives, equipment, or displays.

By registering as a vendor or sponsor, the organization grants GLTSA permission to use its company name, logo, and submitted promotional materials for conference-related recognition, signage, websites, emails, social media, printed materials, and post-event communications.

GLTSA reserves the right to modify the conference schedule, speakers, activities, location, format, or other event details when circumstances require.

If the conference is canceled by GLTSA, registration fees and sponsorship payments will be refunded or credited toward a future GLTSA event. GLTSA is not responsible for travel, lodging, shipping, production, or other expenses incurred by vendors or sponsors.

Questions regarding these policies or vendor and sponsorship participation may be directed to GLTSA at brianna@c2omanagement.com.
